What Is Revenue Cycle Management? A Plain-English Guide
Revenue cycle management, usually shortened to RCM, is the full financial process that happens around every patient visit, from before they walk in the door to after their balance is paid in full.
It’s broader than billing, though billing is part of it.
The stages of the revenue cycle
Before the visit: front-end processes
The revenue cycle starts before a patient is seen. This includes:
- Scheduling the appointment
- Collecting and verifying insurance information
- Checking eligibility and benefits
- Obtaining prior authorization if the planned service requires it
- Collecting any required co-pay at check-in
Errors here create problems that follow the claim all the way through the system. A patient whose insurance wasn’t verified correctly will generate a denied claim downstream.
During the visit: clinical documentation
The provider sees the patient and documents the encounter. That documentation becomes the basis for coding and billing. If it’s incomplete, the coding will be inaccurate or insufficient to support the service billed.
This is why RCM is partly a clinical issue, not just an administrative one.
After the visit: back-end processes
After the patient leaves, the billing process kicks in:
- The encounter is coded with the appropriate diagnosis and procedure codes
- A claim is prepared and submitted to the payer
- The payer processes the claim and pays or denies it
- Payment is posted and reconciled
- Any denied claims are reviewed and appealed
- Patient balances are billed and collected
- Financial reports are generated
Why “revenue cycle management” instead of just “billing”?
Because good billing only fixes the middle part of the problem. If eligibility isn’t being verified at the front end, or if patient balances aren’t being collected at the back end, billing alone doesn’t protect your revenue.
RCM looks at the whole picture.
